§ 03Product · Contacts & Lead Desk

Owners, tenants and buyers — with their buildings, their deals and their email on one record.

A contact knows which properties they own and which deals they're on. Gmail threads sync onto the record. And every inquiry from your website lands in the Lead Desk with an owner and a five-minute clock.

Exh. 03 — Contacts & Lead Desk

How contacts & lead desk works

03.1

The relationship and the real estate, connected.

Open a contact and the deals involving them, the properties they own and the next recorded task are all there. Their recorded do-not-call and opt-out status is in view before anyone reaches out. Buyer needs — asset classes, budget, target markets, hold period, target cap rate and IRR — live on the same record.

  • Overview, activity, relationships and documents on every contact
  • A timeline of notes, calls, emails, tasks and documents
  • Every contact has an owner, reassignable in one click
Exh. 03.1 — Relationships
Relationships tab for fictional seller Morgan Sample: Deal #2048, where they are the seller and the deal is under contract, and the industrial property they own at 2400 Sample Industrial Drive.

03.2

Duplicates caught before they're created.

The new-contact form checks email, phone and name as you type. A duplicates page groups likely matches — a shared office line alone doesn't count — and a broker picks which record to keep. Every link moves with it.

03.3

The Lead Desk: an owner and a clock for every inquiry.

Website forms post straight to the CRM with a delivery receipt, so you can see an inquiry arrived before anyone works it. Routing rules you set assign it — by source, state or price, round-robin or to a named agent — and a known relationship owner always wins. Then the clock starts: five minutes to a first response, a warning in the last minute, “Response overdue” after.

  • Captured, routed and follow-up shown for every lead
  • Exactly one first-response task and one internal alert per inquiry — never an automatic reply
  • A dashboard of open, needs-attention, unowned, overdue and converted leads
Exh. 03.3 — Lead dashboard
Lead dashboard of fictional inquiries sorted attention first: an unassigned property-valuation request from the website and a website contact-form lead, both past the five-minute first-response target, above closed and cold leads with their owners and last contact.

03.4

Email where the relationship is.

Synced Gmail threads appear on the matching contact as activity, and the contact panel searches that person's threads and Drive files without leaving the record.
